Tourist transfers

Transfer management software for airport and hotel transfers

Siyaha Pro gives transfer companies a clear view of arrivals and departures: flight numbers, times, passengers, luggage, vehicles and drivers. Every job is tracked from the agency's request to the monthly invoice, without spreadsheets on the side.

Problems specific to running transfers

Time changes that never reach the driver

A flight lands two hours late, a guest moves their departure forward. If the update stays in a voice message, the driver turns up at the wrong time or the wrong gate.

Arrival peaks you cannot see coming

On Saturdays several charter flights land at Menara or Agadir within the same hour. Without a view by time slot, you find out too late that you are one vehicle short.

Capacity worked out on seats only

Seven passengers, a wheelchair and golf bags will not fit in the vehicle you planned. Seat count is not enough: luggage and special equipment have to be part of the decision.

Painful monthly billing

Every agency that sends you work expects an accurate statement. Finding completed jobs, cancellations and no shows can take days of digging through messages at month end.

The life of a transfer, from request to invoice

  1. 1
    Receive the request

The agency, hotel or guest sends the flight, time, passenger count, luggage and address. The job is created with its type: arrival, departure or point to point.

  2. 2
    Group by time slot

The day's arrivals and departures are sorted by airport and hour. Guests on the same flight heading to the same area can share one vehicle.

  3. 3
    Assign vehicle and driver

Each job gets a vehicle that fits both passengers and luggage, and a driver who is free for that slot with no overlap with another run.

  4. 4
    Track the job

The status moves through the day: to confirm, assigned, in progress, completed or no show. The office always knows where each transfer stands.

  5. 5
    Bill each client

At the end of the period, completed jobs are grouped by agency or hotel to issue invoices and follow up on payments received.

Real-world case

Example: a corporate seminar arriving in Agadir

A Casablanca agency asks an Agadir transport company to handle a corporate seminar. Participants arrive on two flights at Agadir Al Massira airport and stay in two different hotels, one in town and one in Taghazout. The second flight is announced as delayed.

With Siyaha Pro

  1. Jobs are created for each flight with passenger count, luggage and destination hotel.
  2. The calendar shows both arrivals and makes it easy to group participants by hotel rather than by flight.
  3. When the delay is announced, the time is updated on the job and the assigned driver sees the new slot.
  4. Return transfers are planned in the same file, then billed to the agency in a single invoice.
The result

Nobody waits outside the terminal, the agency gets a clear invoice and the transport company keeps the full history for the next seminar.

What good transfer software really has to handle

A transfer looks simple: collect passengers at point A and drop them at point B. In reality, a transfer company juggles dozens of variables every day, many of which change at the last minute. Before choosing a tool, make sure it covers the following.

The flight is the core piece of information

An arrival job only makes sense with its flight number, airport, terminal and scheduled time. When the time changes, the office and the driver must see the update at the same moment. Be wary of tools that only offer a generic "time" field: you lose track of why and when a change happened. In Siyaha Pro, the flight and its time are part of the job itself.

Think in seats and in luggage

A family of five with two strollers, a group of golfers or a couple carrying a surfboard to Taghazout do not need the same vehicle. Your software should help you pick a vehicle that truly fits, not just check the seat count. Record special requests too: child seats, assistance for guests with reduced mobility, a name sign at arrivals.

Keep statuses clearly separated

To confirm, assigned, in progress, completed, cancelled, no show: these statuses decide what you invoice. A job cancelled the day before and a job where the guest never showed up do not carry the same contractual consequences with the agency. A reliable history prevents arguments when the statement goes out.

Plan for billing from the moment of entry

Most transfers are ordered by agencies, hotels or event organisers who pay at the end of the month. If every job is attached to the client who ordered it from the start, billing becomes a simple grouping exercise. The invoices and payments module then tracks what has been collected and what is still due.

Share the fleet with your other activities

Many transport companies also run excursions or multi day tours. In that case, the same vehicles and drivers must appear in a single schedule, otherwise double bookings are inevitable. See our tourist transport software page if fleet management is your core business, and our article on choosing tourist transport software in Morocco.

Finally, test with this week's real jobs: it is the best way to judge. The one month free trial requires no bank card and no commitment.

Frequently asked questions

A question about your specific situation? Our team will answer.

Talk to our team
What happens when a flight is delayed?

You update the time directly on the job. The change shows up straight away in the office schedule and in the assigned driver's list. You can then check whether the vehicle is still available or whether the run needs to go to another driver.

Can I manage both legs of a guest's transfer?

Yes. Both jobs are attached to the same booking file. You see the guest's arrival and departure together, and any change to the stay is easy to carry over to the return transfer.

How do I bill several partner agencies at month end?

Each job is linked to the client who ordered it. At the end of the period, you filter completed jobs by agency or hotel to issue the invoice, then track its payment. Cancelled jobs and no shows remain clearly identifiable.

Can my drivers see their own jobs?

You can create a driver account with limited permissions. From a phone, the driver sees the day's jobs, times, flight numbers and pickup addresses, without access to rates or invoicing.

Is the software suitable for a small fleet?

Yes. A company with three or four vehicles gains mostly in reliability and payment tracking. Siyaha Pro offers several plans sized to the business, and you can start with a one month free trial.
